Guess I am not sure what your having problems with... I usually just add the exchange account on the device, and email, contacts, and calendar sync automatically. If you go to Settings - Accounts and click on your Exchange account, you should toggles to sync the various PIM data.

When I try to add the exchange account it will not allow me to add my Gmail or Microsoft email account name , It says I am already using those account names.

Are you using a different app to get your exchange email?

Far as I know, you can't sync Outlook calendar with your smartphone using gmail account.
You need a mailbox that supports Exchange ActiveSync technology or you can use Outlook 365 to connect your desktop Outlook with Android. Another option is AkrutoSync that works with the native Android apps. Here's a video:
