How to save file directly without using the app to open?

I receive files like pdf, excel, word in my whatsapp. I am unable to find a way to save the file without opening it first.

After I tap the file, it will need to open in excel, word, pdf app then I need to tap the save button in the app to save the file.

I only need to save the file into my phone and I do not need to open the file in my phone, then I will transfer it to my PC or attach the file in email.

How to save file directly without using the app to open first?

What options do you have selected in WhatsApp - Settings - Data and storage usage - Media auto-download?

Usually documents received in WhatsApp are saved in Internal memory/WhatsApp/Media/WhatsApp Documents.
 
I have Documents to auto-download in WiFi and mobile data.

In my WhatsApp - Settings - Data and storage usage - Media auto-download, I see
"When connected to WiFi" I have the same 4 boxes all boxes ticked like seen your screenshot.
"When connected to mobile data" I have only "photos" box is ticked.

When my friend send me a pdf/xlsx/docx file in whatsapp message, is the file already in this folder Internal memory/WhatsApp/Media/WhatsApp Documents before I tap the file to open it?

When I am inside whatsapp, when I receive a pdf/xlsx/docx file and I tap it, phone prompt me to select an app to open the file, there is no prompt for me to save the file.

I do see the files inside Internal memory/WhatsApp/Media/WhatsApp Documents now, not sure is it because I have already tap the files in the whatsapp message to open it so it will then appear inside Internal memory/WhatsApp/Media/WhatsApp Documents or before I tap the file it is already inside Internal memory/WhatsApp/Media/WhatsApp Documents?

Yes, the documents are saved automatically on that folder if you have both auto-download options selected. You shouldn't need to open it previously in the WhatsApp chat.

What happens if I was using mobile data when I saw the whatsapp message that sent me the file? "When connected to mobile data" I have only "photos" box is ticked. Does it mean pdf/xlsx/docx file will not be inside whatsapp/media/whatsapp documents folder? If pdf/xlsx/docx is not inside whatsapp/media/whatsapp documents, how do you download it?

I would need to double check tomorrow since I have kept those two options enabled for a long time. If I recall correctly the document will be saved on that WhatsApp folder as soon as you open it from the chat.

Also, a long press will give you more options to send the file to Google Drive or any similar cloud storage.
 
Reading your first post again I think this could be your best option. Long press the document, tap the share icon top right and then select Gmail or Drive.

I tried long press on the document and I do see the share button QF8CvG0.png appearing and I press the share button and it gives me options to save to Google drive and other cloud storage, I don't see any option to download the document into the phone.

Reading your first post again I think this could be your best option. Long press the document, tap the share icon top right and then select Gmail or Drive.

I don't use Gmail or Google Drive when I am using my phone. I only wanted to download the file and save in the phone, and then connect usb cable and move the file to my PC.
