Exchange FAQ:

Question:

My company has a web-based version of their email:

http://webmail.companyname.com/exchange

when I go to this webpage states “Microsoft Outlook Web Access Provided by Microsoft Exchange Server 2003/2007.”

Can I use the above URL, and account information to configure the Incredible’s email client?

Answer:

The best option is to ask your Exchange administrator for the required parameters to configure the Exchange server settings. You will need the following information:

1.) Server address – in the example above, this would be webmail.companyname.com. The preceding http:// and the appending /exchange are not necessary.
2.) Username – typically the same username you use to login to OWA.
3.) Password – the same username you use to login to OWA.
4.) Whether or not the server requires an encrypted SSL connection.
5.) Whether the server is configured to accept ActiveSync connections.

Question:

Does Android’s Exchange implementation provide true push functionality when connected to an Exchange account?

Answer:

Yes it does. There are options to push manually, at specific time intervals, or “as items arrive”.

Question:

How many Exchange server accounts does the Incredible support via HTC’s email application?

Answer:

One. If you need to add additional Exchange server accounts, you can either use the IMAP option (does not provide real time syncing), or you can add a 3rd party application, such as Touchdown, for the 2nd Exchange account.

Question:

Are Exchange folders supported?

Answer:

Yes they are. However email notifications are only triggered when new emails arrive in the top-level inbox.

Question:

I would like to delete email messages on my phone without deleting them in the Inbox on my desktop Outlook. When I hit the "delete" option from my phone, however, the email is automatically moved to the "Deleted Items" folder on my desktop.

Is there a way to delete my old emails from my phone so they don't clog memory and clutter up my phone with emails I don't need anymore (some emails I do want to keep on my phone, however) without automatically deleting the same email from my Desktop Outlook?

Answer:

No. Because you are using Active Sync, the idea is that your email will always stay in sync, with your Exchange server, regardless of which Email client you are viewing from. This device has plenty of memory; I wouldn't worry about this being an issue. If you still want to control memory usage, you can go into settings and lower the Mail Size Limit, and whether to include file attachments in downloaded messages. Once you open a message you can download the rest of the message and attachments if you choose to do so.

Question:

Does the built in mail application support remote wipe?

Answer:

Remote wipe DOES work provided you are connecting to Exchange 2007 or higher. It does NOT work if you are connecting to Exchange 2003. [thanks alundre for confirming and testing this]

Question:

I'd rather not have to enter a password every time I unlock my phone, but apparently my Exchange ActiveSync mail account requires it.

Is there any way around this? What if I used a pattern lock app instead?

Answer:

When you connect your phone to an exchange server it will enforce certain security parameters on your phone that your exchange administrator has setup before hand, for example it might force you to use a password to unlock your phone every time you want to use it. There is an app out there that will, supposedly, disable this... it is called Lockpicker and here is a link to androidcentral about it; http://www.androidcentral.com/quick-app-lockpicker. (thanks jam4775)

Question:

Can the HTC email application move messages from the inbox to other folders?

Answer:

Yes. Press down on the message you would like to move, and then scroll to the Move To menu item.

Question:

How can I extract my Exchange server settings from Outlook?

Answer: Credit goes to jam4775.

Outlook Web Access (OWA), Active Sync, and Outlook Anywhere are all usually run off the same server. The easiest way for figure out the address to this server is if you know the address to OWA, which looks something like this; “https://connect.domain.com/owa”. The part between the “/” is what you need for the server address for Active Sync which is, “connect.domain.com”, in this example.

If you don’t know the address to OWA, you can find the server address in Outlook if it is setup for Outlook Anywhere. To find this fallow these steps:
-In Outlook, go to Tools and then select Account Settings
-In the Account Settings window, select your exchange email account and the click on Change
-In the Change E-mail Account window, click on More Settings
-In the Microsoft Exchange window, select the Connection tab
-On the Connection tab, click on Exchange Proxy Settings
-In the Microsoft Exchange Proxy Settings window, the server address will be listed in the Connection settings field.

If you don’t know the address to OWA or your Outlook isn’t setup for Outlook Anywhere, then you will have to get the server address from your network administrator.

To figure out the domain… you actually have to use the domain name every time you log into you computer at work. Here are two ways to enter the domain when you log into your computer; “DOMAIN\username”… or “username@DOMAIN”. NOTE, your company could be using two different domain names for each way to log in, either one should work.

IMAP FAQ:

Question:

What is IMAP?

Answer:

See this article.

Question:

Does the built in mail application support IMAP?

Answer:

Yes. However, it does not support IMAP Idle (required for push notifications). There is a third party app in the market called K-9 which supports push for IMAP servers that support IDLE.

Question:

I'd rather not have to enter a password every minute to use my phone when unlocking it, but apparently using an Exchange ActiveSync mail account requires it.

Is there any way around this? What if I used a pattern lock app instead?

Answer:

This must be on your server side. I use a hosted Exchange server (Apptix/Mailstreet) and I do NOT have to enter a password everytime. I just swipe down. Talk to your IT people, though I suspect its part of your corporate security policies.

Don't know about pattern lock apps.

Help: ActiveSync stopped working for Outlook emails

I have been using ActiveSync to retrieve and sync my emails, calendar, and contacts for my new Incredible with my work computer's Microsoft Outlook. I seemed to have set up the account on my phone with no problem and it worked fine yesterday and until mid-day today, but then it suddenly stopped retrieving any new emails that I received on my Outlook account. The calendar and contacts appear to still be updating properly, but when I try to force a synch of the Outlook email, I get the message "error occurred on the computer running the exchange server." I did not make any changes to my Outlook program, and it is running fine on my work computer.

Can anyone suggest to me what the problem might be and what I might be able to try to do to fix it? Thanks.

Option A - I would try deleting the account on your Incredible and starting over again. It only takes 5 minutes, and might fix your problem.

Option B - Talk to your Exchange administrator and ask them if they've made any changes on the Exchange server that would affect your ability to connect OTA via Activesync.

I deleted and re-installed per your advice, and it seems to have done the trick -- at least for now. Thanks.

Exchange unlock

I picked up my new Incredible yesterday. Very cool.

I configured my hosted Exchange mail server which works great.

The problem is that the Exchange server has a security policy that forces me to set and use a password every time I pick up the phone. Major PIA. I do not control the server, so I cannot change the policy. The mail account is my own, not a corporate one, so there would not be a security breach if I got rid of it.

Is there an Android-newbie safe way to disable that requirement on the phone?

Answer:

This is a requirement per the Exchange server configuration. There is no alternate methods around this.

Having said that, are you sure your hosted provider doesn't provide you an Admin panel to modify these settings? I use Sherweb and they provide a portal to control my own individual Exchange server settings for my email address.

email trouble

My wife and I purchased two inc's on Thursday. I have been able to set up my email without any trouble, except for today i had to delete the account and start over. My wife's phone on the other hand has been really difficult to set up. She never had any problems on her blackberry flip so i assumed that the switch would be easy. I was wrong. I have it set up now to where she is able to recieve new emails, however she can not send out or reply to any emails. She keeps getting a error message that reads

"unable to send mail. the account setting is incorrect".

When i click on the message it sends me to edit account. I go through and verify all the settings are correct and they are for the most part except i noticed after about 50 trys that when i get to the outgoing message setting page it is always on login required. When i click next it trys to verify but i get this error message

" Your outgoing server does not support authentication. Please verify your outgoing server settings".

I uncheck the login required box and click next and it allows me to finish setup. Once again i can recieve new emails.

On her cpu at work she has 37 unread new emails, that are not loaded to the phone. She cannot send or reply to emails. However she does recieve new messages. I have no idea what is going on.

She is using Microsoft outlook express 2003. I contacted her IT guy and got the server and domain info. I also have her password and email correct. Currently i am using a POP setting. I tried changing the settings in outlook express to require authencation for outgoing mail. When i do this i get an error message that says the phone cannot connect to the email server.

Sorry this is so long. Any help would be appreciated. I am lost and i have not been able to find any help with this problem.

Gmail App: deleting messages

On my old BB Storm 1 when i deleted messages from the gmail app it asked me if I just wanted to delete from the phone or from my gmail entirely. When I delete messages in gmail on the incredible it deletes it from my gmail account entirely. Is there a way to get this option to choose on my incredible? Or setting it to only delete on the phone? Thanks!

HELP!

I have my mail configured on my Incredible, no problem. However, it doesn't leave the mail on the server like it did on my blackberry. On my Blackberry, I would get all new emails, but when I logged into my pc email client, I'd get the same emails. I thought I'd be able to do the same here, however, my mails are gone. When I checked directly online at att, there are no copies of the mail retained there. I only show mail from 4/28 and prior...which are the messages that didn't appear in my Incredible yesterday when I set it up.

So what I'm saying is that in addition to getting these att mails on my Incredible, I need to still be able to get them on my pc. How can I fix this.

PS. I don't know what push and pull means, so if want to use those terms, kindly define them for me. :o Thanks!
